Interact HRMS Events Management Module Overview

The Events Management module in Interact HRMS is a robust, self-service application that enables organization units to Create, Plan, and Track Events across the company. Through an intuitive interface, users can create events, invite participants, and share essential details like event purpose, date, time, venue, and additional information. Invites can be sent to employees by Organization Unit or Employee Group, and participants are notified through Email and their ESS Portal. This module allows attendees to RSVP, add comments, and provide feedback, making it a powerful tool for effective event coordination.

Ideal for organizations that host training sessions, company meetings, celebrations, or other gatherings, this module centralizes event planning, provides a streamlined RSVP system, and supports transparent communication. By offering employees easy access to event details and RSVP options, Events Management enhances engagement, fosters team-building, and ensures efficient event organization.

Event Creation with Purpose, Timing, and Venue Details

The Events Management module allows users to create events with Purpose, Timing, and Venue Information, ensuring that participants have clear details and understand the objectives of each event. This setup allows organizers to define all essential event details, supporting effective planning and participation.

For example, if an organization is hosting a training workshop, the event creator can specify the purpose (skill development), timing, venue, and agenda. This level of detail helps participants prepare and ensures the event aligns with organizational objectives.

Inviting Participants by Organization Unit or Employee Group

Event organizers can invite participants by selecting Organization Units or Employee Groups, streamlining the invitation process and ensuring that all relevant employees receive the information. This feature supports targeted invitations, allowing organizers to reach specific groups without manual entry.

For instance, if an HR team hosts an onboarding event for new hires, they can select the “New Employees” group to ensure that only relevant individuals are invited. This targeted invitation process saves time and reduces administrative work, making event planning more efficient.

Notifications via Email and Employee Self-Service Portal

Once participants are selected, the module sends Notifications via Email and posts the event details on each invitee’s Self-Service Portal. This dual notification system ensures that employees receive event invitations promptly and can easily access event details in their portal.

For example, employees invited to a company-wide meeting will receive an email with the event details and can also view the invitation in their ESS portal, ensuring that important announcements are not overlooked. This notification system enhances visibility and improves attendance rates.

RSVP Management with Accept or Decline Options

Employees can RSVP to event invitations directly through their self-service portal, choosing to accept or decline the invitation. This RSVP feature provides a quick way for organizers to gauge attendance and adjust planning as needed based on the number of confirmed participants.

For instance, employees invited to a team-building event can confirm their attendance in a few clicks, allowing organizers to track responses in real time. This streamlined RSVP process ensures that event logistics align with expected attendance, enhancing planning accuracy.

Tracking of Attendance and Feedback Collection

The Events Management module allows organizers to Track Attendance by viewing the list of confirmed participants. Additionally, employees who accept the invitation can provide Comments or Feedback about the event, giving organizers insights into participant expectations or specific needs.

For example, an employee attending a training session can leave a comment requesting additional materials, enabling organizers to better prepare for the session. This feedback loop supports interactive event planning, ensuring events are tailored to meet participant needs.

Online Event List for Transparent Access

All upcoming events are listed online, allowing employees to view the List of Events and check eligibility to attend. This open list provides transparency and enables employees to stay informed about company events and opportunities for involvement, supporting a culture of openness and engagement.

For example, an employee interested in professional development can view upcoming workshops and see if they are eligible to attend. This visibility helps employees take advantage of company events that align with their goals, promoting continuous learning and involvement.

Inclusion of Sponsor and Organizing Unit Information

The module enables event creators to include Sponsor Information and details about the Organizing Unit, providing participants with a full picture of the event’s purpose and backers. This inclusion is especially useful for events with external sponsors or specific department-led initiatives, as it informs participants about event support and organizational context.

For instance, if an external partner sponsors a health and wellness seminar, the event invitation can include sponsor details, enhancing participants’ understanding of the event’s scope. This additional information fosters transparency and builds rapport with sponsors and organizing units.

Event-Specific Information Sharing for Better Planning

The Events Management module allows organizers to add any Additional Information that might be useful for participants, such as materials to bring, dress code, or special instructions. This feature ensures that employees are well-prepared and can plan accordingly, contributing to a smooth event experience.

For example, if a company is hosting an outdoor team-building activity, the organizer can include a note for participants to wear comfortable attire. This attention to detail enhances participant experience and ensures that all attendees are well-prepared.
