Interact HRMS – ACA Management is a specialized compliance module designed to help U.S. employers meet Affordable Care Act (ACA) requirements with accuracy, efficiency, and confidence. The module automates eligibility determination, hours tracking, affordability analysis and statutory reporting, significantly reducing administrative burden while ensuring ongoing compliance with evolving IRS regulations.
The module continuously evaluates employee data to determine full-time equivalent (FTE) counts and identify employees who must be offered ACA-compliant health coverage. By automatically pulling data from Core HR, Payroll, Time & Attendance, and Benefits, Interact HRMS ensures that ACA determinations are based on a single, consistent source of truth, eliminating the need for manual reconciliation .
ACA Eligibility & Workforce Tracking
Interact HRMS tracks employee work status—including full-time, part-time, seasonal, and exempt classifications—and calculates ACA eligibility based on hours worked and other statutory conditions. ACA hours can be computed automatically from time records or entered manually where required, supporting both standard and complex workforce scenarios. The system accurately identifies employees averaging 30 or more hours per week under IRS rules and flags them as eligible for coverage .
Coverage, Affordability & Safe Harbor Management
The module tracks medical plan information for all employees and records key ACA data elements, including Coverage Codes, Safe Harbor Codes, and the employee’s share of the minimum plan premium. Built-in affordability analysis allows employers to proactively assess compliance exposure before penalties occur. Employee consent for electronic ACA communication can be flagged and managed directly within the system.
ACA Reporting & Electronic Filing
Interact HRMS automatically populates ACA forms 1095-B, 1095-C, 1094-B, and 1094-C using validated employee, coverage, and affordability data. Forms are securely made available to employees and covered individuals through Employee Self-Service for viewing, downloading, or printing, supporting electronic furnishing where affirmative consent is provided, in line with IRS requirements. Once reviewed, employers can electronically file Form 1094-C and all associated 1095-Cs with the IRS in a single step .
Alerts, Reporting & Ongoing Compliance
Built-in reports and alerts provide advance visibility into eligibility thresholds, coverage obligations, and compliance risks, ensuring employees are properly notified of their right to health insurance coverage.
